HirePilot is operated by FORCCAST TECHNOLOGY PTY LTD (ACN 678 585 563). We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) (Australian Privacy Principles) and, where applicable, the General Data Protection Regulation (GDPR) (EU) 2016/679.

1. Information We Collect

Information you provide: Your name, email address, billing information (processed securely by Stripe), and the resume documents and job descriptions you upload for analysis and rewriting.

Information collected automatically: Usage data such as analysis results, feature interactions, device type, and referral source. We use this to improve our service and do not sell it to third parties.

2. How We Use Your Information

We use your information to: provide and improve resume analysis and rewriting services; communicate with you about your account, payments, and service updates; ensure compliance with our Terms of Service; and detect and prevent fraud or misuse.

We do not sell your personal information to third parties. We do not use your uploaded resume data to train or improve third-party AI models beyond what is necessary to provide the specific analysis or rewrite you request.

3. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area, our legal basis for processing your personal data is:

  • Contract performance: Processing is necessary to provide the service you have requested.
  • Legitimate interests: Processing for service improvement, security, and fraud prevention.
  • Consent: Where you have opted in to marketing communications.

4. Data Retention

Resume files, ATS analyses, and rewrite results are automatically deleted 7 days after upload unless you delete them sooner through your dashboard. Payment information is processed by Stripe and is not stored on our servers. Account information (name, email) is retained until you request account deletion.

5. Data Deletion Request

You have the right to request deletion of your personal data at any time. To submit a data deletion request:

  1. Contact us through our Contact page with the subject line “Data Deletion Request.”
  2. Include the email address associated with your HirePilot account.
  3. We will process your request within 30 days and confirm once your data has been erased.

Deletion includes your account information, profile data, uploaded resumes, analysis results, and rewrite history. Data required to comply with legal obligations (e.g., tax records) may be retained for the period required by law and then deleted.

6. Your Rights (GDPR)

If you are in the EEA, you have the right to: access your personal data; rectify inaccurate data; erase your data (right to be forgotten); restrict processing; data portability; and object to processing. To exercise these rights, contact us through our Contact page.

7. AI-Generated Content Disclaimer

HirePilot uses artificial intelligence (AI) models to analyse and rewrite resumes. AI-generated suggestions are provided as a guide only and should be reviewed by a human before use. We do not guarantee that AI-generated content is accurate, error-free, or suitable for any particular job application. You remain solely responsible for the content of your resume and job applications.

8. Third-Party Services

We use the following third-party service providers, each of which has its own privacy policy:

  • Stripe — Payment processing. We do not store credit card details on our servers.
  • OpenAI / DeepSeek — AI-powered analysis and rewriting features.
  • Supabase — Database and authentication services.
  • Vercel — Hosting and infrastructure.

9. International Data Transfers

Your data may be processed on servers located outside Australia, including the United States. Where we transfer data internationally, we ensure appropriate safeguards are in place in accordance with Australian Privacy Principle 8 and GDPR Article 46.

10. Cookies

We use essential cookies for authentication and session management. Stripe may set additional cookies for fraud prevention during checkout. You can control cookie settings through your browser. See our Cookie Policy for full details.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last updated” date. We encourage you to review this policy periodically.
